4. Inventory Count

Conducting an inventory count is essential for tracking and verifying your stock levels. Regular inventory counts help ensure that the physical quantity of products matches the quantities recorded in your system, minimizing discrepancies and maintaining accurate records.

1. Access the Inventory Count Menu
In the Posterita POS Back Office, navigate to Stock Control and select New Inventory Count.


2. Create a New Inventory Count

  1. Store: Select the store where the inventory count will be conducted.
  2. Date Counted: Confirm or adjust the date for the inventory count.
  3. Count Name: Add a unique name for the inventory count for easy tracking and identification.
  4. Save: After selecting the store, date, and count name, click Save to proceed to the item entry stage.

3. Add Items to the Inventory Count

Option 1: Manually Add Items

Search for each item you need to count and enter the current physical quantity of each item.

Option 2: Upload Items Using a CSV Template

Download the Sample CSV template.
Enter item details in the CSV, including Item Name and Count Quantity for each item.
Upload the CSV: Return to the inventory count, click Upload CSV, and select your file to upload.
Review Items to ensure all details are correct before proceeding.

4. Complete the Inventory Count

After adding or uploading items and verifying details, click Complete to update the inventory levels in your system.


Voiding an Inventory Count

If you need to void an inventory count, you can do so through the Reports section, ensuring that inventory levels are properly adjusted.

1. Access Inventory Count Reports
Navigate to Reports > Inventory Counts in the Posterita POS Back Office.


2. Find the Inventory Count
Enter the date range to locate the specific inventory count you need to void and open it from the list.


3. Void the Inventory Count

  1. Click Void to cancel the inventory count.
  2. Once voided, any adjustments made during the count will be reverted, ensuring inventory levels are accurate.

Regular inventory counts help keep your inventory records accurate by identifying discrepancies between physical stock and system records. These discrepancies can arise from issues like theft, errors during receiving, or administrative mistakes.   • Review Regularly: Schedule regular inventory counts to maintain accurate stock records and minimize discrepancies.
